Migrating to White Label Channel Manager requires careful planning to protect your booking data, prevent double bookings, and maintain continuous sync across channels. Use this guide to plan your migration strategy, prepare your property data, and execute channel-specific transitions efficiently.

Preparing for migration
Proper preparation minimizes operational risks and prevents rate or calendar discrepancies across your distribution channels.
Plan in batches
When migrating a high volume of properties, divide the migration into smaller batches of 25 to 50 properties.
Batching allows your team to monitor progress, identify issues early, and resolve errors without impacting your entire portfolio. Depending on your team's capacity, you can complete multiple batches in a single day. Contact the Onboarding Team to help you build a custom timeline for your portfolio size.
Send complete property data
Send all property information to Rentals United directly through the API integration. Every property field in Rentals United accepts data from your PMS.
If you import properties from Airbnb into Rentals United first, complete the missing details in Rentals United. Sync remaining property data from your PMS to Rentals United immediately after importing each property from Airbnb to ensure complete content before connecting channels.
Managing reservations migration
Maintaining synchronization between your PMS, Rentals United, and external channels keeps your booking calendars accurate throughout the transition.
Import existing reservations
Import all existing reservations with future check-in dates as soon as you activate the connection. Importing bookings directly in White Label Channel Manager is available from:
Importing reservations through White Label Channel Manager ensures that future modifications and cancellations sync automatically with your PMS. Reservations imported directly into your PMS won't receive updates from Rentals United, creating data inconsistencies between systems.
Vrbo reservation limitation
Vrbo reservations don't import automatically. Create them manually in either your PMS or Rentals United before the import, and transfer them to Vrbo.
Keep the following Vrbo limitations in mind:
- Reservations only qualify for import if the property was connected to another channel manager or PMS when the guest booked.
- Reservations older than 45 days aren't eligible for import.
Executing channel-specific steps
Each booking channel manages channel manager switches differently. Follow these tailored approaches for each booking channel.
Before you start
Apply Stop Sales directly in all connected channels one day before starting the mapping process. Temporarily closing sales across all connected channels prevents guests from booking incorrect rates or unavailable dates during the migration window.
Important:
Never skip applying Stop Sales, even during short migration windows. High-volume accounts face a high risk of overlapping bookings without explicit sales stops.
Airbnb
Migrate all properties under the same Airbnb account simultaneously. Airbnb disconnects any property not migrated during an account switch. If your Airbnb account contains over 100 properties, migrate all of them in one day.

- Map listings from Airbnb to Rentals United properties.
Booking.com
Booking.com manages channel manager changes at the individual property level. Follow these steps to migrate Booking.com listings:

- Temporarily stop sales for each listing.
- Switch the software provider in Booking.com extranet to Quick Connect for each listing.
- Map each property in Rentals United.
Additionally, Rentals United supports grouping multiple single properties into a hotel-style setup on Booking.com when necessary.
Vrbo
Vrbo migrations depend on external review timelines managed by Vrbo support.
Treat Vrbo as an independent workstream. Submit all properties to Vrbo at the same time. Once Vrbo approves your properties, proceed with reservation mapping. Work with your assigned Vrbo Account Manager to apply Stop Sales directly, reducing manual effort for your team.
Recommended migration timeline
Follow this process to streamline multi-channel transitions:
- Day 1 (Preparation): Apply Stop Sales across Airbnb and Booking.com properties.
- Day 2 (Account and property sync): Execute Airbnb account mapping and Booking.com property mapping simultaneously. If migrating a large Airbnb account (over 100 properties), complete migrating all Airbnb properties on Day 2, then complete Booking.com properties on Day 3.
- Parallel Track (Vrbo approval): Submit Vrbo listings for approval and complete reservation mapping as approvals finalize.
